Requests for new equipment, equipment repair/maintenance, annual maintenance fees, etc. which directly enhance the student development and leadership mission of the university.

Pool Processes & Committee Guidelines:
Schedule & Call for Proposals: Call to be determined annually by the Vice President of Student Affairs; advisory committee review to happen during twice yearly open meetings (anticipated scheduling for November and February).
Requesting Funds: Staff members in Student Affairs may submit requests for equipment to the Vice President of Student Affairs. The following information should be included for each request.
- Name/type of equipment needed
- Cost of equipment and a list of available vendors
- Age and Condition of equipment being replaced (if applicable)
- Benefit to the office if equipment is purchased
- Description of what is “lost” if not purchased
Prioritization of Requests: Vice president gives the Student Services Committee Chair the request summaries. Then the Student Services Committee reviews the proposals at their open regularly-scheduled meeting (probably November and February- if necessary an e-mail announcing the meeting can be sent to appropriate list servs). Student Services Committee Chair sends the committee’s recommendations to the VPSA.
Notification of Awards: VPSA prioritizes recommendations and contacts appropriate staff about decisions and purchasing logistics.
Award Accountability: Effectiveness of purchases will be resubmitted to the Committee Chair.
