The following combinations seem to make sense in order to achieve full coverage:
Announcements
or
Activities, Faculty, Staff
or
Faculty, Staff, Students
These combinations SHOULD NOT be included in a single "TO:" or "CC:" line. Rather, a separate message should be sent to each list. This is easily achieved by using the "send again" feature and changing the "TO:" line instead of the forward feature of most email programs. If the forward function is used, be sure to clean up any quoting marks.
Remember when composing your message to one of these lists:
1. Subject line should be used to be descriptive of the content. Events announcements should include title, date, time, and location.
2. Messages to this list should show only this address, no others. Do not carbon copy another list or individuals in your post. If you must carbon to individuals, then use the BCC: field. You do not want to reveal personal email addresses to everyone on a mailing list. Posting to more than one list is considered to be cross-posting and bad email etiquette.
3. DO NOT send attachments. Attachments consume valuable space in the mail system. If a document is text only, then the text can be cut and pasted into the body of the message. If the document contains formatting and images that must be preserved, then the document can be posted on the web and a text message containing the URL can be posted.
4. Do NOT send messages in the RTF or HTML formats. Such formats more than double the size of plain text messages and some email readers cannot view this rich content. Always send messages in plain text format. In Outlook you can set plain text formatting by creating a new message or opening the message in its own window and then selecting from the menu: Format, Plain Text.
5. Do not forward an email message to send it to the list without making sure to clean up any formatting such as angle brackets (">"). Also refrain from sending posts from other lists. Instead encourage others to join those lists so that they may become aware of important announcements from those lists.
6. Do not use tabs in the formatting of your message. Instead use spaces to pad the beginning of a line in order to visually center or align text. Do not use spaces to pad the end of a line or to move text to a new line.
7. Senders should allow one day (workday) for posting to the server. Normally the requests are sent in during the day, but posts do not go out until the end of the day. Posting is not automatic. Each posting has to be approved by a Moderator. Moderators judge whether the email fulfills the content requirements before allowing it to be released to the community as a whole.
If you have further questions or problems, please contact the moderator of the mailing list to which you are attempting to post, or send an email to VSU Portal Steward.
