Setting a Meeting

Step 1:

You must be successfully launched Office Outlook Web Access to complete these steps. If you have not already done so, please follow the steps in our Launching Office Outlook Web Access guide.

Then, click the Calendar tab on the left window.

Step 2:

Click the drop-down arrow next to the New button. Then, click Meeting Request in the drop-down menu.

Step 3:

In the Required... field, enter the address(es) of participants who are required to attend the meeting.

In the Optional... field, enter the address(es) of participants who are invited to attend, but not required to.

In the Resources... field, enter the address(es) of other participants, such as guest speakers.

In the Subject: field, enter the title of the meeting.

In the Location: field, enter the location where the meeting is occuring.

Edit the Start time: and End time: fields to fit the time and date of the meeting.

You can include additional details at the bottom of the meeting.

Finally, click the Send button.

Step 4:

To verify your meeting has been set correctly, navigate to the date of the meeting using the calendar on the top-left or the arrows below the New button. Then use the scroll bar on the right side of the Calendar to navigate to the time of the meeting.

Step 5:

You may then modify the meeting information by double-clicking on the meeting.

Alternatively, you may delete the meeting by right-clicking on it and then left-clicking Delete in the pop-up menu.

Step 6:

If you delete a meeting, you will be asked to send a cancellation e-mail to participants. Edit the text at the bottom to reflect the cancellation and click the Send button.
