Fundraiser Information for Recognized Student Organizations

Advance Planning for Event |

- Designated event planner should meet with faculty advisor to decide on type of fundraiser.
- Is fundraiser: ___ Organizational ___ Charity (select one)
- Organizational Fundraiser: fundraisers in which the student organization itself keeps all of the proceeds from the event. Charity Fundraiser: fundraisers in which the student organization gives away at least 90% of the proceeds raised from the event to the designated charity.
- Event planner and advisor should complete the fundraiser form and turn it in to the Student Union Reservation Office.

Policies for Fundraisers |

- Any event on-campus or off-campus must follow these procedures.
- The name of the charity must be on all advertisement for event, including ticket sales.
- Full rental of facility, personnel and other associated expenses will be charged to organizations keeping more than 10% of the proceeds from the event... this percentage of money collected can be used for prizes, program planning and other expenses incurred with the event.
- Proceeds collected: registration fees, admission to an event, entry fees (i.e.: sports teams) or processing fees
- Canned goods or clothing can be solicited, but it cannot be combined with the collection of money (example: canned good or a $1 door entry)
- Exception for charges: if you are charging only to cover the cost of a meal provided by catering - an invoice from catering must be provided.
- Vendors: approval to use vendors at your event must be requested in the planning stages of the event. All vendors are required to pay 7% sales tax to Valdosta State University and 20% gross sales.
- Scholarship Funds: if proceeds collected are to be put in a scholarship fund for the student organization, scholarship requirements must be provided in writing and approved.
- Scholarship monies may only be used for VSU tuition and/ or textbooks from the VSU Bookstore.
- After your fundraiser is approved, a facility can then by scheduled with Event Services and a contract generated.
- After the event, a Statement of Distribution form must be completed within seven (7) working days of event and returned to the Student Union Reservations Office.
- If your event is a charity fundraiser, then a letter from the charity must be provided stating the amount donated and attached to the Statement of Distribution form.
- Donations/ Collections: Only registered student organizations may request permission to setup donation sites for items such as money, canned goods, etc. in University facilities.
