MINUTES OF THE COUNCIL ON STAFF AFFAIRS MEETING

January 14, 2003

COSA Chair Shannon = McGee called=20 the meeting to order at 8:30 a.m. in the President=EF=BF=BDs Dining Room = of the Palms=20 Dining Center. Members present: Melinda Cutchens, Sammy = Dees, Jeff=20 Giles, Jeff Grant, Inman Grimsley, Rosalyn Hatcher, Stanley Jones, = Rebecca=20 Kimbrough, Sue Lampert, Bob Lee, Shannon McGee, Mike McKinley, Kae = Sinkule,=20 Patrick Smith, and Trisha Taylor. Guests in attendance were Joe=20 Mattachione, Director of Housing and Residence Life, Bobby Flowers, = Plant=20 Operations and Holly Decker, Campus Mail.

SPECIAL ORDER OF THE DAY: =20

Joe Mattachione, Director of Housing and Residence = Life,=20 provided an overview of the Residence Hall Arrival Instructions. = It is=20 estimated that between 1100 and 1300 students move in to the dormitories = in one=20 day. Mr. Mattachione informed the group that he coordinates = efforts with=20 VSU Parking and Transportation, as well as Public Safety to assist with=20 alleviating congestion. There are several student organizations = that=20 volunteer to assist with the process including, sororities, = fraternities, other=20 campus organizations, SMILE staff (Student Move-In=20 LEaders) and various members of the VSU administration. Mr. = Mattachione did state that there may be a three to four day orientation = for=20 first year freshmen this year at which freshmen may be able to move into = the=20 dormitories earlier than other students. It this occurs it may = alleviate=20 some of the congestion during the weekend move-in. COSA is interested in = becoming a part of this volunteer effort. Mr. Mattachione informed = the=20 group that he is a part of a committee that is currently reviewing the = arrival=20 procedures.

Sue Lampert presented = a written=20 report of the three COSA accounts.

Sue also informed the = group that=20 she is receiving brick contributions for the Retirement Walkway.

COMMITTEE REPORTS:

Elections: Mike McKinley informed = the group=20 that he drafted a memo to Information Technology regarding the online = election=20 process. He will have a follow-up report at the February COSA = meeting.=20
Employee of the Semester Committee: Rebecca Kimbrough informed = everyone that=20 she received seventeen Employee of the Semester nomination forms for = Fall=20 2002. The Employee of the Semester will be announced at the = February=20 2003 COSA meeting.=20
Policy: The Policy Committee = previously=20 recommended that two individuals be selected to chair the Staff = Appreciation=20 Day committee. Rebecca Kimbrough stated that the Staff = Appreciation Day=20 committee is scheduled to meet on January 16^th. The = Staff=20 Appreciation Day committee will discuss the proposal and inform COSA = of the=20 committee=EF=BF=BDs decision.=20
Retirement Walkway-Employee Recognition=20 Committee: No report.

Staff Appreciation Day: Rebecca = Kimbrough=20 informed the group that the Staff Appreciation Day committee is = scheduled to=20 meet on January 16th at 3:00 p.m. in Conference Room 1 in the = University Union=20 (2nd floor).

Parking Appeals: Mike McKinley = distributed a=20 chart indicating the breakdown of the parking appeals for the month of = December 2002. The committee upheld 57% of the appeals while 43% = of the=20 appeals were dismissed.

Welfare Committee: No report.=20
State Charitable Contributions = Program: Bob=20 Lee informed everyone that pledges for the State Charitable = Contributions=20 Program will continue to be received through the month of January, = 2003. =20 The goal of $35,000.00 is within reach and Bob encouraged everyone to=20 contribute so VSU could meet or exceed the original $35,000.00 goal. =

REPORT FROM THE CHAIR:

Chair Shannon McGee spoke about issues that were = addressed in=20 Dr. Zaccari=EF=BF=BDs message during the Spring Semester Faculty/Staff = Convocation on=20 January 9^th. She informed everyone that there will be = three=20 COSA Representatives on the new Parking Advisory Committee. The=20 individuals are Mike McKinley, Stanley Jones, and Shannon McGee.

OLD BUSINESS:

There was brief discussion regarding the 2003 = Holiday=20 Calendar. COSA Representative Trisha Taylor commented to everyone = that the=20 group she represents (EE04 classification) expressed some = dissatisfaction with=20 the manner in which the 2003 Holiday Calendar proposal was = handled. =20 Several individuals in the EE04 classification wanted input into the = proposal=20 rather than reviewing the proposal after the fact. Representative = Taylor=20 indicated that she would like for a standard procedure to be created in = order to=20 avoid this situation again. Chair Shannon McGee stated that = guidelines=20 will be put in place to begin the process around September or October so = staff=20 will have the opportunity to make suggestions regarding the holiday=20 calendar. Chair McGee also reminded COSA representatives to remain = in=20 constant contact with those they represent in order to get their views = on=20 various staff issues whether it is the holiday calendar or other = concerns. =20 Shannon McGee will check on the status of the calendar and inform COSA = of the=20 results.

=EF=BF=BD =20 Sue Lampert shared with the group that there will be 450 = college=20 students from various areas across the United States that will arrive in = Valdosta during the month of March to be part of the next Habitat for = Humanity=20 building project. Kae Sinkule announced that Anita Gosier recently = moved=20 into her home built by Habitat for Humanity. Also, Kae announced = that Ann=20 Timpson has qualified for a home by Habitat for Humanity.
